Meeting Room – Terms and Conditions

The following is our Terms & Conditions relating specifically to the use of our Meeting Rooms.

Payment

Meeting Room bookings need to be made strictly in advance.

However, if for some reason payment has not been made in advance (e.g. Same day booking), then payment must be made before any access is granted.

Cancellation Policy

We require a minimum notice period of 2 full working days to cancel or change all meetings room bookings.

If you fail to cancel the booking you will remain liable for the total booking fee.

No refunds will be given for cancellation or failure to make use of the booking.

Plus, please note that if at the time of booking your reservation also includes a catering request, the order will still be billed for payment plus an arrangement cancellation fee of £10.00.

Photo ID Required

If you have not already submitted your photo ID, please ensure this is provided before your meeting or bring it along with you on the day.

Unfortunately, without a photo ID, you will not be permitted entry to the meeting rooms.

You must register all guests prior to the booking. Guests are required to check-in at the front desk, and we will notify you of their arrival. Guests will not have access to any other areas of the building except the meeting room(s) booked, breakout areas and cloakroom.

Refreshments and Catering

Complimentary chilled water is included.

Please be advised that we do not permit outside food and beverages in our meeting rooms.

Upon request, we are happy to arrange light catering and refreshments for you and your guests.  Should you require a copy of our refreshments and light catering pricelist (ex VAT), please let us know.

A 20% service charge will be applied to all catering supplied with a £15 minimum.

  • 3 day’s notice is required for catering for up to six guests
  • 7 day’s notice is required for larger groups.

Strictly no alcohol is to be permitted on the premises.

Equipment

Pens, writing pads, flip charts are all included in set up pre-agreed for your event free of charge.

WiFi & Projector Screens where available is also provided free of charge.

If you plan to use your own computer/laptop during the room hire it must be PAT tested to conform with legal requirements.

Any additional technical equipment you may wish to bring to the meeting room must be agreed with us prior to the event and all such equipment must demonstrate it has been PAT tested.

You must not disconnect, change, or tamper with any cabling or connections in the meeting room.

In the event of any technical issues our staff will endeavour to rectify the issue for you.

You must not move furniture from the meeting room to any other part of our premises without our consent.

We do not supply adapters or chargers, please bring your own should they be required.

Personal Items

The Brentano Suite will not accept any liability or responsibility for the loss or damage of any personal items of any kind brought or left on the premises by visitors/guests (including cars parked within the car park) at any time.

Property Damage & Theft

The hirer must indemnify the owners against any loss, thefts or damage however caused, during or in respect of the period of hire.

You are liable for any damage to or loss to our furniture, the meeting room or equipment.

In the event of any damage or loss to our furniture, the meeting room, or our equipment we will send you an invoice for the cost of repair and/or replacement for immediate payment.

Parking

Elstree centre has a designated number of free parking bays which are identified with Pale Blue circles for tenants and guests.  These are available on 1st come 1st served basis.

Other Terms and Conditions

For Health and Safety purposes, Fire Exits/Cloakrooms will be advised to all guests/visitors on arrival.

No Smoking or vaping is permitted anywhere on our premises.

No animals/pets are allowed.

Permission to film or video events must be obtained in advance from The Brentano Suite.

Neither party shall be liable or responsible to the other for any failure to perform or delay the performance of any obligations under these terms and conditions because of unforeseen events that are out of our control.
